You're halfway up a ladder, hands full, and the phone goes off in your pocket. You'll call them back at smoko. By smoko, they've rung the next bloke on Google, and he answered.

Every tradie knows that feeling. What most don't know is their missed call cost over a year, because a missed call never shows up on a bank statement. It's the invoice you never got to write. Here's how to put a number on it, and what to do about it.

Key Facts: Missed Call Cost

  • In one study of small business calls, 69% of callers who reached voicemail hung up without leaving a message.
  • People ring a tradie when something's wrong, so the first business to answer often gets the job.
  • On our worked example (5 missed calls a week, $500 average job), a solo tradie could be losing close to $40,000 a year in revenue.
  • Nobody has published a reliable figure for how many calls Australian tradies miss, so the best number is your own.
  • Calling back within the hour beats calling back tonight, by a long way.

Why a Missed Call Costs More Than You Think

A missed call isn't a lost conversation. It's usually a lost job, and nobody sends you a bill for it. We call it 'Revenue Leakage', or, as it's better known, 'lost money'.

Three things make it worse for tradies than for most businesses:

  • People ring a tradie when something's wrong. A burst pipe or a dead power point doesn't wait for your callback.

  • Most callers won't leave a message. In Moneypenny's small business call report (a survey of 300 micro businesses plus call data from 10,000 businesses, 2016), 69% of callers who hit voicemail hung up without leaving one.

  • The competition is one tap away. Your number sits on the same Google results page as five others.

Why "I'll call them back later" doesn't work

Research published in Harvard Business Review in 2011 found businesses that responded to a new lead within an hour were nearly seven times more likely to qualify it than those that waited just one hour longer. That study looked at online enquiries in the US, not phone calls to Aussie tradies, but the lesson holds. The longer the wait, the colder the customer.

Work Out Your Own Missed Call Cost

Nobody has published a reliable figure for how many calls Australian tradies miss, so be wary of anyone quoting one with confidence. The good news is you can work out your own in five minutes, with four numbers:

  1. Missed calls a week. Check your phone's call log for a normal week and count the new-customer calls you didn't answer.

  2. The share who never leave a message. Use 69% from the study above, or your own count.

  3. Your win rate. Of the enquiries you do speak to, how many become a paid job? Half is a fair starting point for most trades.

  4. Your average job value. Take last quarter's invoices and divide by the number of jobs. Incl. GST or ex GST is fine, just be consistent.

The sum: missed calls × 69% × win rate × average job × 46 working weeks.

The worked example

Here's what that looks like for a solo tradie at three levels of busy. These are illustrations using the assumptions shown, not industry statistics. Swap in your own numbers.

Look at the flat-out column. The busier you get, the more calls you miss, so good work turns into more leakage, not less.

That's revenue, not profit, so treat it as the ceiling. Even at half, it's real money walking out the door.

What Missed Calls Cost at Home

The cost isn't only on the invoice. Plenty of tradies spend tea time returning the calls they missed during the day, and their partner hears every one of them. If Kate's running the books, she also knows exactly which jobs never turned up. Missed calls cost you money by day, then your nights and weekends with your partner or family after that.

That last one is why we built Liz. She answers every call 24/7, asks the right questions and pencils in a nominal time to hold the customer. You always call them back to confirm the details, on your terms. Liz's Digital Office Manager fee is $27.50 a month, plus $27.50 per confirmed job (which you can pass on to the client) and a $137.50 setup, all incl. GST.

The Verdict: Should You Get Your Missed Calls Covered?

Do this if

  • You miss more than a couple of new-customer calls a week
  • Your callers usually have something urgent
  • You're spending evenings returning calls
  • Your Google listing or ads bring in calls you can't answer

Don't do this if

  • You already answer nearly every call, or someone in the office does
  • Most of your work is repeat clients who'll happily wait for you
  • You're booked out for months and don't want new enquiries

Missed Call FAQs

Do customers still leave voicemails?

Most don't. In a study of small business calls, 69% of callers who reached voicemail hung up without leaving a message. Assume a missed call with no message is a customer who's moved on.

How quickly should a tradie return a missed call?

Within the hour if you can. Research on business enquiries found the odds of winning one drop sharply after the first hour, and an urgent caller may have booked someone else within minutes.

Is a missed-call text back enough?

It's better than nothing, because it tells the caller you exist. But they still have to wait for you to ring back, and an urgent caller often won't.

How much does a missed call cost a tradie on average?

There's no reliable Australian average. On our worked example, five missed calls a week at a $500 average job adds up to close to $40,000 a year in lost revenue. Use your own call log and job value for your real figure.
